INFORMATION ON Conference Hotel Reservation
For ICALEPCS 2009

Shinki Bus Head Office Convention Service Department (hereafter, We), the official travel agent, will handle Conference hotel reservations and all necessary travel arrangements including local sightseeing tours for the participants of ICALEPCS 2009.

Hotel Accommodation

We have reserved a number of rooms at selected hotels for the participants during the Conference period at reasonable rates.

Hotel reservations will be made on a first-come, first-served basis.

  1. The rates are on per room per night basis and include service charges and 5% consumption tax, but not breakfast.
  2. In order to make your reservation, a deposit of JPY 10000 per room will be necessary along with a non-refundable Handling Charge of JPY 500 per one reservation transaction (tax included).

The deposit of JPY 10000 will be deducted from the final bill at the hotel.

Reservation Procedure for Hotels and Tours

Please complete your reservation by logging in to your Personal Page.

*If you do not have your ID, please complete the required items on the ID Application page in order to acquire your ID and Password.

Payment Procedures

Major credit cards are acceptable for payments of Conference Hotel Reservations.

All payments must be made in Japanese yen(ˇď).ˇˇNo reservation will be completed until payment is confirmed.ˇˇPayment may be made by a credit card only for on-line reservation. The secretariat will confirm your payment and send you a confirmation letter by e-mail.

For Hotel Reservation

  1. The hotel deposit of JPY10000 per room in addition to the non-refundable Handling Charge of JPY 500 will be charged to your credit card upon your reservation.
  2. Your reservation confirmation will be sent to you either by fax or e-mail after receiving your on-line reservation and verifying your payment.
  3. Please present your confirmation slip to the Front Desk at your hotel when you check in.
  4. Please pay the balance of your hotel charges directly to the hotel when checking in or out.

Deadline for Payment of Hotel Reservation

at 0:00 on October 2, 2009 / Japan Standard Time(UTC+9)
(Note: Reservations cannot be made if hotels are fully booked.)

Cancellation

In the case of cancellation, a refund will be made after deducting the non-refundable Handling Charge (JPY 500) and cancellation fees from your deposit as follows.

Please make any cancellations or changes to your reservation by logging in to your Personal Page.
